Privacy policy

What we do with your details.

The short version: we use what you give us to answer your enquiry and, if you become a client, to arrange your mortgage or cover. We do not sell it and we do not pass it to anyone who is not involved in doing that work.

Who we are

Clements Financial Ltd is the data controller for the information collected through this website. We are registered in England and Wales, company number 11385992, with our registered office at 381 Eastfield Road, Peterborough, PE1 4RA, and we are authorised and regulated by the Financial Conduct Authority (FRN 1055767).

Questions about this policy, or about the information we hold on you, go to office@clementsfinancial.co.uk or 01733 602 033.

What we collect, and why

Enquiry forms. When you send us an enquiry we collect your name, phone number and email address, what you are enquiring about, anything you write in the message box, and, if you have used one of our calculators, the figures you entered. We use this to answer your enquiry. The lawful basis is your consent, which you give by ticking the box on the form, and you can withdraw it at any time by telling us.

If you become a client. Arranging a mortgage or an insurance policy needs a good deal more: income, outgoings, identity documents, credit history, health information for protection applications, and details of the property. We collect this directly from you and, where you authorise it, from lenders, insurers, credit reference agencies and your employer or accountant. The lawful bases are performance of a contract with you and our legal obligations as a regulated firm. Health information is special category data and is processed only with your explicit consent, which we ask for at the time.

Technical information. Our hosting provider records the IP address and browser type of visitors in order to serve the site and to block abuse of our forms. We do not use this to identify you and we do not combine it with anything else.

Who sees it

Your details are seen by the advisers and support staff at Clements Financial who need them to help you. Beyond us, they go only to organisations that do specific work on our behalf or that are necessary to your application:

  • Our enquiry and client management system, provided by AdviserIQ, where enquiries and client records are stored.
  • An email service (Resend) that delivers the notification of your enquiry to our advisers.
  • Our website host (Vercel), which serves the site and processes the technical information described above.
  • Lenders, insurers and credit reference agencies, once you have asked us to make an application, along with solicitors, valuers and any other party your case needs. Each is a data controller in its own right and has its own privacy notice.
  • The Financial Conduct Authority, the Financial Ombudsman Service and other bodies where we are legally required to share information.

We do not sell personal information and we do not share it with anyone for their own marketing.

How long we keep it

If you enquire and do not go ahead, we keep your enquiry for up to twelve months in case you come back to it, then delete it. If you become a client, we are required by the FCA to keep records of the advice we gave and the products we arranged, and we keep client files for as long as those rules require, which is normally at least six years after the relationship ends and longer for mortgages and some protection products.

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it where we no longer need it, object to or restrict how we use it, and ask for it in a portable form. Where we rely on your consent, you can withdraw it at any time. To do any of these, contact us using the details above. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.
